Our own visitor statistics do not use cookies. We store only a daily, one-way hashed visitor code (it cannot be turned back into your IP address), plus device type, browser and referring website.
3. How we use your data
- To confirm, plan and carry out your ride, including flight tracking and sharing pickup details with your chauffeur.
- To send booking confirmations, reminders and updates by email, SMS or WhatsApp.
- To take payment, issue invoices and handle refunds.
- To answer questions and handle complaints.
- To send our newsletter and offers — only if you subscribed. You can unsubscribe at any time.
- To improve our website and service, and to keep it secure.
- To meet legal duties, such as tax and accounting records.
4. Legal basis (GDPR)
- Contract — to provide the ride you booked.
- Legal obligation — tax, accounting and transport rules.
- Legitimate interests — answering enquiries, preventing fraud, keeping the site secure, and simple cookie-free visitor statistics.
- Consent — newsletter, analytics cookies and marketing cookies. You can withdraw consent at any time.
5. Who we share it with
We share only what each party needs:
- Chauffeurs and partner transport companies who carry out your ride (passenger name, phone, trip details).
- Booking and payment providers that run our booking system and process payments.
- IT providers — website hosting, cloud storage, email and messaging (including WhatsApp, run by Meta).
- Google Maps — to suggest addresses when you type a pickup or drop-off location.
- Analytics and advertising tools — only if you accept those cookies.
- Authorities — when the law requires it.
We never sell your personal data.
6. International transfers
Some of our providers are outside the UK or the European Economic Area. When data is sent abroad, we use the protections required by law, such as adequacy decisions or the European Commission’s Standard Contractual Clauses.
7. How long we keep it
- Bookings and invoices: as long as tax law requires (usually 6–10 years, depending on the country).
- Enquiries that did not become a booking: up to 2 years.
- Newsletter: until you unsubscribe.
- Visitor statistics: up to 2 years, in hashed form.
- Cookie choice: 12 months, then we ask again.
8. Your rights
You have the right to:
- see the data we hold about you (access);
- correct wrong data;
- ask us to delete your data;
- limit or object to how we use it, including direct marketing;
- receive your data in a common format (portability);
- withdraw consent at any time — this does not affect what we did before.
Email info@rentlocar.com to use your rights. We reply within one month. You can also complain to your local data protection authority (for example the ICO in the UK, or the authority in your EU country).
9. Security
We use encrypted connections (HTTPS), access controls and trusted providers to protect your data. Only staff and partners who need your data for your ride can see it.
10. Children
Our service is booked by adults. We do not knowingly collect data from children under 16, except a child’s age when you ask for a child seat.
11. Changes to this policy
We may update this policy. The date at the top shows the latest version. If we make important changes, we will tell you on this website or by email.
